Once you batch… you won’t go back. And trust me on this one, batching is a game-changer. So, what is content batching? If you’re not familiar with the concept, content batching refers to grouping several similar content tasks together to get them tackled in a single session. It’s a strategy that can streamline your workflow, save you heaps of time and when working on similar tasks it’s easier to maintain your focus and creativity.

Instead of bouncing around from thing to thing and constantly switching between different types of content creation, batching means you’re focusing on one type at a time and can really get into a state of flow. Plus, batching content requires organisation and planning ahead which means the end result of your efforts will be a consistent stream of engaging and high-quality content for your audience. Of course, if you’re going to batch content in order to be more efficient, you’ll understand that it’s worth doing properly and that means you’ll need a strategy; so let’s get to it…

Preparing for content batching

When starting out with content batching you’ll  need to work out the different types and topics of content you want to create. Think blog posts, EDMs, social media content and videos. You’ll be grouping similar tasks together as that’s what makes batching sessions super effective.

Next, set up a content calendar to schedule some batching times. When initially taking this strategy on board, be realistic about how long will be needed for content creation (remembering, you’ll undoubtedly get quicker the more you do it) and close off appropriate blocks of time in your calendar. Treat these sessions like any other important meetings or appointments and stick to them.

During your batching sessions, turn off all distractions and focus only on the job at hand. This means no checking emails, scrolling through social media, or taking phone calls. Put on some tunes or white noise if this is how you work best and prepare to morph into a content creation machine.

Create a content plan and calendar

Before each batching session create an outline to help steer your writing process. This might include a list of topics you want to cover, ideas for what research is needed, and any specific keywords or phrases to include. Having a plan in place – before touching the keyboard –  is definitely going to save you time and prevent that cursed writer’s block.

Setting up a content calendar is crucial if you really want to get the most out of content batching. It will help you stay focused and organised, force you to plan ahead and will facilitate a smooth workflow. Start by working out your publishing schedule which also means deciding how often you’re going to publish each type of content. At this planning stage you should definitely be thinking about special events, seasonal opportunities or product launches to incorporate these. 

Then, allocate specific days or time blocks for each type of content and lock these into your Google Calendar or project management software to keep track of deadlines and your progress. With a well-organised calendar in place, you’ll be able to streamline your batching process and rock’n’roll your productivity.

Once you’ve gotten into the groove of producing content in batches, review your analytics regularly to understand what’s really connecting with your audience. This feedback loop is crucial for adjusting your approach and ensuring the valuable time invested in batching sessions is yielding the highest possible return. Adjusting topics, formats, or even the tone of your content based on data can help keep your content efforts on track.

Get a hold of some tools and resources to boost your batching 

The big deal with batching is that it’s all about time savings and efficiency. And to further streamline your batching process, you should really consider hooking into some planning tools like Trello or Asana. These platforms (and there are plenty of others, too) help you organise and prioritise tasks, resulting in a smooth workflow and everything being easy to track. Additionally, you can also use productivity apps such as Evernote or Google Keep to jot down ideas and keep notes of inspiration.

These resources go a long way to enhancing efficiency and make content creation much easier. Now, if you’re wondering what systems I use (and, of course, I know you’re on the edge of your seat) there are a few. Asana is one a number of clients prefer me to use with them, and I find between it and GDrive for Google Sheets and Google Docs it’s easily possible to harness free tools like these to organise an entire content workflow. That said, I am falling a bit back in love with Notion (free also) so watch this space.

Quick tips for successful content batching

  1. Remain organised: Create and maintain a clear system for storing and categorising your content ideas, whether it’s a spreadsheet or a dedicated folder on your computer you don’t want to be wasting time hunting for thing
  2. Minimise distractions: To help you stay focused and productive, find a quiet workspace, turn off notifications, and set aside specific blocks of time for batching.
  3. Break it down: Divide your batching sessions into smaller chunks and create sub-tasks to make what you’re wanting to do manageable and not overwhelming.
  4. Set realistic goals: Think about how much content you can realistically create during each batch session and stick to that limit to prevent burnout.
  5. Take breaks: Remember to give yourself short breaks between tasks to refresh your mind, make a coffee and keep your productivity honed throughout the session.
  6. Experiment and mix it up a bit: Use batching as an opportunity to try out new content formats or styles, keeping things fun for your, and fresh and engaging for your audience.
  7. Collaborate on content with others: Why not involve team members to join you in batching? You can leverage their skills and expertise or gain another perspective. 
  8. Review and revise: After each batch session set aside a bit of time to review your content withe fresh eyes, make necessary tweaks, and ensure it’s top shelf quality before scheduling or publishing it.
  9. Learn from experience: See what works best for you during the batching process and adjust your approach accordingly in future sessions for even more efficiency.
  10. Stay flexible: While planning is important, be open to making some adjustments as you go if needed. Sometimes unexpected opportunities or ideas arise that are time-sensitive and could require deviating from your original plan. That’s ok – don’t miss a red hot opportunity by being too rigid.

To gradually increase the amount of content you batch at once, begin by spreading the workload across multiple days to minimize overwhelm. Start with a manageable schedule:

  1. Day 1: Conduct your research.
  2. Day 2: Create your content list and draft your copy.
  3. Day 3: Record any necessary videos or audio.
  4. Day 4: Edit and schedule your posts.

By spreading content tasks over a few days, you won’t feel the pressure of trying to do everything at once.

Progressive Batching

At first, try batching content for 5 days ahead. Once you are comfortable, gradually extend this to 10 days, then 15, and so on. This bit-by-bit approach allows you to find a rhythm without feeling overwhelmed, ensuring you keep quality and relevance high.

Flexibility in Volume

You can experiment with how much content to batch by adjusting based on your comfort and efficiency. For example, if you find creating 5 days of content easy after some attempts, slowly push your limit to 7 days, then 10. The key is to increase the volume mildly each time while assessing your capability to maintain quality.

So, by spacing out tasks and gradually increasing the amount you’re batching, you’ll develop a sustainable system that saves time and keeps your content pipeline full.

Implementing your batched content

Once you’ve batched and created your swag of content, it’s time to put it into action. Schedule your content strategically to reach your target audience at the right times using social media management tools to automate posts. I’ve used Social Bee for years and it can send content to Facebook, Instagram, LinkedIn and Google My Business making it almost too easy. Monitor how your content perform, make adjustments as needed and use your findings to inform future batching sessions.

Understanding how your previous content has performed is important for refining your content strategy. Here’s how you can use past results to guide your next moves:

Analysing Engagement Metrics

Revisit older posts to identify which ones got significant engagement. Look for patterns in the likes, shares, and comments. Did a certain topic spark a lot of discussions? Make this most of any found opportunity by producing follow-up content that dives deeper into the subject.

Identifying High-Engagement Formats

Content that’s attracted a considerable amount of interaction shows what will sit well with your audience. If a blog post received heaps of likes and shares, consider repurposing it into a different format, such as a video or infographic. You’ll be able to reach a broader audience while keeping the core message intact.

Responding to Audience Questions

Posts that generated lots of questions are an indication of your audience’s interests and concerns, so create more content that addresses their queries in greater detail. This might be writing a comprehensive guide, producing a tutorial video, or hosting a live Q&A session.

Pattern Recognition

Look for recurring themes across your most successful posts. Is there a specific topic or style that consistently performs well? Keep these topics in mind for your upcoming content plans, but of course remember the importance of a balanced content calendar that addresses all key areas relevant to your brand.

Content Pillar Strategy

If certain posts thrived within specific content pillars, consider stretching these pillars. Maybe write a series that explores each pillar in greater depth, offering nuanced perspectives and fresh information.

By systematically analysing what has worked in the past, you can build a data-driven content strategy that maximises reach and engagement.
